FINE Group Ent. – Executive Assistant (United States)

We are looking for an executive assistant with a first experience. Someone who is eager to help an entertainment executive in their personal and professional endeavors.

Applicants must be based in Los Angeles or willing to relocate.

We are looking for a trustworthy, self-motivated and resourceful Personal Assistant to handle a wide range of different responsibilities that will change daily. This individual must be highly organized and provide key support functions in a fast-paced and growing environment.

PERSONAL RESPONSIBILITIES:
  • Flight booking, vacation booking and road trip
  • Communication with accountants and lawyers
  • restaurant reservation
  • Assist with the personal administrative duties of the CEO and immediate family
  • Other daily administrative and logistical tasks
  • Keep track of key events i.e. visa renewal, passport renewal, birthdays, etc.
  • Administration of internal invoices
  • Organization of the drop box
CEO RESPONSIBILITIES:
  • Co-Founder/CEO Diary and Calendar
  • Ability to keep internal Dropbox organized, especially sorting files and folders
  • Flexible hours based on UK and US timetable
  • Ability to travel outside the United States
  • Log assistance with co-managing clients in the US/UK if required
  • Gifts for customers
  • Ticket reservation / restaurant reservation for customers when needed
  • Other daily administrative and logistical tasks
  • Schedule meetings and conduct conference calls through multiple platforms (Zoom, phone, Google Meet) and across multiple time zones
  • Gather materials in advance to prepare for meetings. Attend meetings and calls. Take detailed notes, summarize them and organize them in an accessible and structured format.
  • Treat sensitive and confidential information with discretion
  • Collaborate effectively with internal teams and clients
QUALIFICATIONS

Previous experience working in a fast-paced entertainment industry environment

  • Excellent oral and written communication skills. Great interpersonal skills.
  • Extremely well organized and motivated, attention to detail, punctual, conscientious, courteous, proactive and flexible
  • Ability to work under pressure with a strong work ethic and positive attitude.
  • This is an in-person role
